[Article] Troubleshooting the Visits AI Agent

If your recording doesn't upload automatically

If the Internet connectivity is weak when you create your recording, your transcript may not upload immediately. When you return to a strong connection -- whether it's on WiFi or cellular service -- your recording and transcript should automatically upload to your visit in the Circadia web app.

However, if for any reason your recording doesn't upload automatically, Circadia stores a backup version of your audio recording and your transcript on your tablet, so you can manually upload the audio recording to your visit.

To manually upload the recording, follow the instructions below, or see the video Instructions for Manually Uploading Audio Files.

First, open the Circadia web app to the correct visit. Then, select the Transcript tab for that visit. From the Transcript tab, select the Upload Audio button in the lower right corner. The Upload Audio button is highlighted in the image below.

After clicking Upload Audio, you will need to find the correct audio file. You can find the file by clicking on the yellow My Files icon.

Within My Files, you will need to click on Internal storage, then select the folder called CircadiaAssistantRecordings, highlighted in yellow in the image below.

Once you're in the CircadiaAssistantRecordings folder, you'll see all the recordings for your recent visits. Select the .webm file labeled with your patient's name.

From there, you'll be taken back to the Transcripts tab, where you'll be prompted to select the correct template for your visit.

After selecting the template, your audio will start uploading, and the Circadia AI agent will automatically transcribe and generate the narrative based on your template choice. From there, everything should work exactly the same as if the recording had uploaded automatically. How to find your audio files on your tablet

If you're having trouble uploading the audio recording to Circadia yourself, you can email the recording or transcript to Circadia Support to upload for you.

To find the backup audio and transcript, go to the yellow My Files app on your tablet, shown here:

Once you're in the My Files app, select the Downloads tab, which is indicated by the following icon:

If you turn your tablet horizontally, you will also see that the tab is labeled Downloads.

Inside the Downloads tab, select the folder called CircadiaAssistantRecordings. From there, you will see audio and text files labeled with your patient's name.

Select the .webm file, then click the Share button, highlighted in the image below, to share the file via Outlook or Teams.
